This policy explains what personal information Pro-Fit Floor Coverings Ltd collects, why we collect it, who we share it with and what your rights are.

Who we are

Pro-Fit Floor Coverings Ltd decides how your personal information is used. In data protection law that makes us the "controller". We are registered in England and Wales, company number 09300599. What we collect

• Your contact details: name, email address, phone number, postcode and address. You give us these through the forms and instant quote tool on this website, by email, phone or WhatsApp, or in person.
• Details of your job: room sizes, photos, plans or drawings you send us, the site address, access arrangements and the notes and measurements we take on a site survey.
• Records of our work for you: quotes, orders, invoices, payments and guarantee details.
• Payment details: if you pay us online, the payment is handled by our payment provider, Stripe. We do not see or store your full card number.
• How you use this website: if you accept cookies, we collect information such as the pages you visit, the type of device and browser you use and your approximate location.
• Security information: our forms use Google reCAPTCHA to block spam, which collects technical information about your device.

We do not ask for sensitive information such as health details. Please do not include it in photos or messages you send us.

Why we use it, and our legal reason

• To reply to your enquiry, arrange a site survey and prepare a quote. Legal reason: taking steps you have asked for before a contract, and our legitimate interest in answering enquiries.
• To carry out the work, order materials, arrange fitters and honour our guarantee. Legal reason: carrying out our contract with you.
• To send invoices, take payment and keep accounts. Legal reason: carrying out our contract with you, and our legal duty to keep tax and accounting records.
• To tell past customers and people who asked for a quote about similar services. Legal reason: our legitimate interest in keeping in touch with customers. You can ask us to stop at any time.
• To measure how the website is used and how well our advertising works. Legal reason: your consent, given through the cookie banner.
• To keep the website and forms secure. Legal reason: our legitimate interest in preventing spam and misuse.
• To keep health and safety records for work on site and to deal with complaints or claims. Legal reason: our legal duties, and our legitimate interest in defending claims.

We use software, including automated and AI tools, to help us handle enquiries and prepare quotes. You can always ask to deal with a person.

Who we share it with

We never sell your information. We share it only with:

• Our own fitters, and subcontractors or suppliers where that is needed to do your job, for example to deliver materials to your address.
• Companies that provide services to us: GoDaddy (website and forms), Google (website statistics, advertising measurement and spam protection), BillyBot (quoting and job management), Sage (accounts), Apple (email), Stripe (online payments), and WhatsApp if you choose to message us there.
• Our accountant, insurers and professional advisers.
• HMRC, regulators, courts or the police where the law requires it.

Information held outside the UK

Some of the companies above store information outside the UK, including in the United States. When that happens the information is protected either by UK government decisions that the destination gives adequate protection, or by contract terms approved for use under UK law.

How long we keep it

• Enquiries and quotes that do not go ahead: up to 2 years from our last contact.
• Customer, job, guarantee, invoice and payment records: 6 years from the end of the financial year in which the job finished.
• Website statistics: up to 14 months.

Cookies

Cookies are small files saved on your device. Essential cookies make the website work and remember your cookie choice. These are always on.

Statistics and advertising cookies (Google Analytics and Google Ads) are only set if you press Accept on the cookie banner. If you decline, Google may still receive limited information without cookies, such as the fact that a page was viewed.

You can change your mind at any time by clearing the cookies for this website in your browser. The banner will then appear again.

Your rights

You have the right to:

• ask for a copy of the information we hold about you;
• ask us to correct information that is wrong;
• ask us to delete your information;
• ask us to limit how we use it;
• object to how we use it, including an absolute right to stop marketing messages;
• ask for your information in a form you can pass to another company;
• withdraw consent to cookies at any time.

Complaints

If you are unhappy with how we have used your information, please tell us first so we can put it right. We will acknowledge your complaint within 30 days. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Children

Our services are for adults and organisations. We do not knowingly collect information about children.
